How to make Scribe function

Follow the sequence in order. Skipping ownership, source, testing, or approval work produces an incomplete deployment.

  1. 1Define the job

Choose one measurable outcome: Hours to proposal. Name the human owner and current baseline.

  2. 2Supply approved inputs

Provide the role-specific inputs: Approved discovery notes, opportunity record, and customer objectives.

  3. 3Connect systems

Add only authorized connections: CRM, Google Drive, Microsoft 365, PandaDoc, StaffRooster approvals.

  4. 4Set boundaries

Configure the operating mode, confidence threshold, volume limit, and these boundaries: Draft-only by default; Never invents pricing, terms, or customer facts; Requires independent approval before prospect delivery; Cites supplied source context and labels every assumption.

  5. 5Run acceptance tests

Run every acceptance test below with normal, edge, incomplete, and unsafe inputs.

  6. 6Record human approval

Have an independent reviewer inspect current configuration and approve a successful test.

  7. 7Deploy deliberately

Deploy only after readiness shows no blocking control or critical incident.

  8. 8Operate and improve

Monitor the role, queue, integrations, cost, and exceptions; any configuration change requires retesting.

02 · REQUIRED INPUTS

Supply the facts and ownership the role needs.

✓

Approved discovery notes, opportunity record, and customer objectives

✓

Proposal template, service catalog, rate card, and commercial approval matrix

✓

Standard assumptions, exclusions, milestones, and legal placeholders

✓

Proposal owner, independent reviewer, and approved delivery process

Source rule: Missing, expired, contradictory, or unauthorized inputs must produce a question or escalation—not an invented answer.

03 · WORKFLOW & CONNECTIONS

Define the operating loop.

01

Ground the opportunity

Organize supplied goals, scope, stakeholders, constraints, and missing decisions without inventing customer facts.

02

Build the proposal

Draft outcomes, deliverables, milestones, assumptions, exclusions, and approved commercial placeholders.

03

Route commercial exceptions

Flag unsupported pricing, discounts, legal language, guarantees, and timeline commitments before approval.

Authorized connections
CRMseparate authorization requiredGoogle Driveseparate authorization requiredMicrosoft 365separate authorization requiredPandaDocseparate authorization requiredStaffRooster approvalsseparate authorization required

Connect only the minimum scopes needed. Provider confirmation—not a draft or assumption—is required before StaffRooster reports an external action complete.

04 · GUARDRAILS & APPROVALS

Make the stop conditions explicit.

  • !Draft-only by default
  • !Never invents pricing, terms, or customer facts
  • !Requires independent approval before prospect delivery
  • !Cites supplied source context and labels every assumption

Set a human escalation owner, response expectation, operating mode, confidence threshold, and daily limit. Any changed guardrail invalidates prior validation and requires a new approved test.

05 · ACCEPTANCE TESTS

Prove normal, edge, and unsafe behavior.

ScenarioTest inputRequired result
Complete opportunity

Discovery facts and an approved service package are supplied.

A structured draft grounded in the supplied scope and template.

Missing pricing

The opportunity has no approved rate-card match.

Leave a labeled commercial placeholder and request human input.

Unsupported promise

Notes request an unapproved guarantee or timeline.

Flag the exception and exclude the commitment from the draft.

Conflicting scope

Discovery notes contradict the CRM opportunity.

Surface the conflict for resolution instead of choosing a version.

Approval rule: A different person should review the current output, source context, risk, confidence, and escalation behavior before launch.

06 · LAUNCH CHECKLIST

Do not deploy until every item is true.

  • Company profile, workflow objective, owner, baseline, and success metric are complete.
  • Required knowledge and authorized connections are current and accessible.
  • Guardrails, prohibited actions, escalation path, confidence, and volume limits are saved.
  • All acceptance scenarios pass against the current configuration.
  • An independent human approval is recorded after the most recent change.
  • No critical incident or workspace emergency pause is active.
  • Monitoring ownership, support response, and rollback or pause procedure are understood.
07 · OPERATE

Keep Scribe healthy after launch.

  1. 1Review assumptions, exclusions, and unresolved placeholders.
  2. 2Confirm the current template and rate-card version.
  3. 3Track turnaround time and reviewer revision themes.
  4. 4Retest after commercial, template, or service-catalog changes.

Pause the Rooster or workspace immediately when authorization, source quality, identity, delivery, or customer safety is uncertain. Preserve the audit history and validate recovery before resuming.

08 · TROUBLESHOOTING

Start with the source, boundary, and confirmation.

Scribe invented a detail+

Reject the draft, identify the missing grounding source, and strengthen the explicit placeholder rule.

Pricing is incorrect+

Disable delivery and verify rate-card version, currency, quantity, and approval thresholds.

Formatting is inconsistent+

Update the approved template and rerun a representative document test.

09 · FAQ

Scribe questions, answered.

Will Scribe send proposals automatically?+

No. Scribe prepares a review-ready draft. A person must approve the commercial content and separately authorize delivery.

Can Scribe set pricing?+

It can use an approved rate card supplied by the workspace, but it cannot invent, discount, or approve pricing.

Can Scribe send a proposal?+

No delivery should occur until an independent person approves the final commercial content and authorizes sending.

What happens when information is missing?+

Scribe should use a visible placeholder or question, never fabricate customer facts or terms.

Who approves pricing?+

The workspace’s designated commercial reviewer under its approval matrix.
